Background

211OC publishes quarterly Data Quality Report Cards that show the percentage of data completeness, data accuracy, and data timeliness for each active project in the OC HMIS.

Agencies can review and assess their projects' data completeness by running the Data Completeness Reports.

 

Data Completeness Reports

The Data Completeness Reports reports show the clients' responses to the HUD data elements.

The following reports should be run and reviewed at least once a quarter in order to identify any missing information a project might have in the clients' responses. 

 

  • Universal Data Elements (UDE) 
  • Program Specific Data Elements (PSDE) at Entry
  • Program Specific Data Elements (PSDE) at Exit

 

Keep in mind that not every client needs to answer all data elements questions, for this reason, it is recommended to review the Data Completeness Reference Guide to see the clients who need to respond to each data element. 

Running the Data Completeness Reports

Step 1: Navigate to the Data Analysis tab of the Reports Page in HMIS, by following the instruction in the Running a Saved Look article.

Step 2: Locate the Data Quality section under the Orange County Clarity Systems Reports, and click Run next to the specific report you would like to run.

 

 

Universal Data Elements (UDE) - Completeness Report

This report shows the clients' responses to all the Universal Data Elements fields for active clients in the reporting period. 

The majority of the UDE fields are located in the Profile Screen of HMIS, others are located in the Enrollment Screen; and there two fields, Destination and Project Exit Date, located in the Exit Screen. 

 

Program Specific Data Elements (PSDE) at Entry - Completeness Report

This report shows the clients' responses to the Program Specific Data Elements at Entry for active clients in the reporting period. 

All the PSDE at Entry fields are located in the Enrollment Screen of HMIS. 

 

 

Program Specific Data Elements (PSDE) at Exit - Completeness Report 

This report shows the clients' responses to the Program Specific Data Elements at Exit for clients who exited the project on the reporting period.

All the PSDE at Exit fields are located in the Exit Screen of HMIS. 

 

 

Actions required after reviewing Completeness Reports

 

  • Identify missing information in data (Blanks or Data not Collected)
  • Identify Client Refused and Client doesn't know responses
  • Complete data when possible
