Background

A client cannot be a member of two households at the same time. So, if you want to join a client to a household but they are already part of a household Clarity allows you to do one of two things:

  1. Remove the current client from the existing household to join the new household, OR
  2. Transfer the other client from their existing household to the current client's household

Moving Clients Between Household Instructions

In the example below, the user wants to add Captain America to Super Man's household, but Captain America is already in a household with Black Widow.

Step 1: Search for Captain America's Client Profile, and click the Edit icon.

(Note: Please visit our Knowledge Base article on Searching for Client Records for more details)

Step 2: Once Captain America's Client Profile page loads, select the Manage button at the right side of the screen.

Step 3: Under the Your recent client searches accessed section, you will see a Join button. Select Super Man's name from this list.

In this example, Captain America is already a member to another household. So there is a warning that is prompted, informing us that Captain America cannot be a member of two households, so we are given two options:

  1. Captain America exists the household with Black Widow to join Super Man’s household
  2. Transfer Super Man from the household with Super Woman to join Captain America’s household

Option One: Leave, Exiting Household to Join...

Follow these instructions if you choose this option.

You will get the following pop-up box, fill out the information and select Save

Existing Household

  • Exiting End Date: The date in which the client has left the existing household
  • Head of Household: Name the new Head of Household, if the current Head of Household is the one that is exiting

New Household

  • Member Type: Select the member type in the new household, in this example what is Captain America in Super Man's household.
  • Start Date: The date in which the client joins the new household.

Option Two: Transfer, from their existing Household...

Follow these instructions if you select this option.

You will get the following pop-up box, fill out the information and select Save

Existing Household

Existing End Date: The date in which the client is leaving their existing household. In this case, the date in which Super Man would leave his household to join Captain America's

Head  of Household: Name a new Head of Household, if the current Head of Household is the one that is exiting. In this example, Super Man was the Head of Household for his household, so we must name another member of the household as the Head of Household.

New Household

Member Type: Select the member type for the client within the new household. In this example, you would select what Super Man is to Captain America.

Start Date: The date in which the new client is joining the new household. In this case, when did Super Man join Captain America's household.

Note: In most cases the Existing End Date and Start Date are the same. Some exceptions are when the client has any institution stay, like hospitals, rehab, foster care, etc between transitioning from one household to another.
